Reimbursement for Additional Subsistence Expenses

Additional subsistence expenses will only be payable under the following circumstances:

  • when an officer has police commitments out of the force area;
  • when an officer is retained on duty beyond his/her rostered hours without prior warning;
  • when an officer is recalled to duty and is therefore prevented from taking his/her usual meal arrangements;
  • where an officer has been prevented from taking his/her usual meal arrangements due to unforeseen/exceptional operational circumstances e.g. a major incident.

Reimbursement due to any of the above will be payable to the following maximum amounts.

* Reimbursement for meals / refreshments taken between the hours of 2200 and 0600 may only be claimed when purchased in relation to policing operations and approved by the appropriate line manager. The limits for such expenses will be restricted to those indicated except where staff have been unable to have an evening meal in which case the 1600 to 2200 rates will apply. Similarly, flexibility can be applied to allow an individual to take his/her main meal of the day at lunchtime under exceptional circumstances. However, if an individual will be returning home in time for an evening meal, then the defined rate for 1100 - 1600 will apply. Approval of the appropriate line manager is required.

An officer must support a claim with a valid receipt and the officer’s line manager must verify the claim. A claim without a valid receipt will not be accepted unless there are exceptional circumstances. Claims for reimbursement will not be met where force provision has been made in respect of subsistence and/or accommodation.
